Should I Backup My Office 365?

Microsoft Office 365 has many benefits and is a great tool and application for SMB’s across all sectors of industry and it is growing at a phenomenal rate with more and more businesses taking advantage of working from the cloud, anywhere anytime and being able to collaborate on tasks and projects amongst staff no matter where they are in the world.  The licencing or subscription model is so easy to adopt for your type of business and very flexible as licences can be added or removed.  There are always automatic updates of the platform keeping you and your employees current with the most up to date applications within the Microsoft suite of Applications (Word, Excel, PowerPoint, Access and Email Exchange)

Many people believe Microsoft is backing up their Exchange, SharePoint, One Drive and Teams, the reality is Microsoft is responsible for the availability of their service not the backup of your data, they even say as much in their Service Agreement and they urge caution and recommend the backup of your data:

“We strive to keep the Services up and running; however, all online services suffer occasional disruptions and outages, and Microsoft is not liable for any disruption or loss you may suffer as a result. In the event of an outage, you may not be able to retrieve Your Content or Data that you’ve stored. We recommend that you regularly backup Your Content and Data that you store on the Services or store using Third-Party Apps and Services”.

Microsoft has lots of great features, but they do not have a restore feature for data that is older than 93 days and granular restore of SharePoint or One Drive and this makes it difficult to protect your data of your business.

There are also risks of not backing up and using a cloud to cloud backup system, there could be data loss through accidental or malicious deletion of data from the SharePoint or One Drive platform by your employees.  A Ransomware attack on your network system and thus gaining access to your SharePoint area, so a good solution is to have a backup separate from the Microsoft cloud infrastructure.
